ChatGPT table to Excel or Google Sheets

ChatGPT made you a tidy table. In Excel it became one column of text with vertical bars in it, or every row landed in a single cell. Two clicks fix it in Excel, two in Google Sheets, and one line in your prompt stops it happening again.

What lands in one column

First, try the plain paste

In the chat window, select the table with your mouse from the top-left header to the bottom-right cell. Copy. In Excel or Sheets, click the cell where the top-left value should go and paste. Usually the values land one per cell, because the copy carries the table as a table.

When it does not, you have the plain version: each row is a line of text, | Hall hire | 1 | 220 |, and the spreadsheet puts each line in one cell. The fix is to split those cells on the vertical bar.

Excel: Text to Columns

  1. Select the cells that hold the pasted rows (one column, one cell per row).
  2. Go to the Data tab and click Text to Columns.
  3. Choose Delimited, then Next.
  4. Untick the boxes that are ticked, tick Other, and type | (the vertical bar, usually above the backslash key). The Data preview at the bottom shows the columns splitting. Click Next.
  5. Leave the destination as it is, or pick an empty cell to keep the original, and click Finish.

Microsoft's page on the Convert Text to Columns Wizard has the same steps with pictures, for Excel 2016 onwards and Microsoft 365.

Google Sheets: Split text to columns

  1. Select the pasted cells.
  2. Choose Data > Split text to columns. A small Separator menu appears under the selection.
  3. Open it, choose Custom, and type |. The cells split at once.

Google's help page also mentions that straight after pasting you can click the paste icon that appears and choose Split text to columns from there.

Tidy up

  • Delete the row of dashes (---). It was the line under the header.
  • Each line started and ended with a bar, so there is an empty column on the left and on the right. Delete both.
  • Values may have spaces around them. Select the columns and use Trim (in Sheets, Data > Data cleanup > Trim whitespace; in Excel, the TRIM function, or Find and Replace a double space with a single one).
  • Numbers that came in as text sit on the left of the cell. Select the column and set the number format, or click the small warning that Excel shows and choose Convert to Number. Watch currency symbols and anything that looks like a date; 3/4 will become 3 March unless the column is text.

Ask for a shape that pastes cleanly

Next time, say how you want it:

  • "Give me this table as tab-separated values, with no other text." Tabs are what spreadsheets split on by default, so the paste just works.
  • "Give me this as CSV." Then paste and use Text to Columns with Comma, or in Sheets the separator menu's Comma. If any value contains a comma, prefer tabs.
  • "Make this an Excel file." On some plans ChatGPT produces an .xlsx you can download. OpenAI's help page lists Excel workbooks among the file types and says availability "depends on your plan, workspace settings, file type, and surface".

Into Word or Docs instead

If the table is for a document, not a spreadsheet, split it in Sheets or Excel as above, then copy the cells and paste into Word or Google Docs. Both make a proper table from spreadsheet cells. The rest of the document is covered in ChatGPT to Word and Copy ChatGPT to Google Docs.

The app we are building for this

If the table came inside a file the AI saved, with headings and paragraphs around it, AsItIs opens that file as a clean document with the table already drawn. You fix what you want, everything else stays exactly as it was, and you export a PDF or Word file. Mac and Windows, not out yet; the waitlist is open.

Questions

How do I copy a table from ChatGPT into Excel?

Select the table in the chat window with your mouse, from the first header cell to the last cell, copy it, click one cell in Excel and paste. It should land one value per cell. If it lands as one column of text with vertical bars, use Data, Text to Columns, choose Delimited, tick Other and type a vertical bar.

Why does the ChatGPT table paste into one column?

You copied the plain version of the table, in which each row is a line of text with vertical bars between the values. Excel sees one line of text per row and puts it in one cell. Splitting on the vertical bar puts each value in its own column.

How do I paste a ChatGPT table into Google Sheets?

Paste it, then choose Data, Split text to columns. Next to Separator, open the menu and choose Custom, then type a vertical bar. Delete the row of dashes and any empty columns at the edges.

Can ChatGPT make an Excel file?

On some plans. OpenAI's help page on creating documents with ChatGPT says it can produce Excel workbooks (.xlsx) and that availability depends on your plan, workspace settings, file type and surface. Otherwise ask for the table as tab-separated values and paste it; Excel and Sheets split on tabs automatically.
